A Session Profile is also known as the Class or Appointment profile, it's where you can change or make edits to your class, adjust the class size, add or cancel/remove clients, or remove/cancel the class. It's your one place to make most of the adjustments you'll need! Let's review the steps to make these adjustments.


Step 1: Log in to your Fitli business account

Step 2: Locate a class or appointment on your business calendar, and click or tap on it to open the 'Session Profile'

In the screenshot below, you'll see the business schedule/calendar. Click or tap on any of the classes or appointments to open the Session Profile for what you've clicked on.

1 - Help Desk popups

Click the Help "?" question mark and you'll see specific Help information relating to the Session Profile page.


2 - Service Description


The class/appointment description in this section comes directly from the Services page, where you entered a description visible to all clients. You can edit the description of a specific class on this page, and it's unique to this individual class. Making changes to the description here does NOT replace the overall class/appointment description.


3 - Service Notes and Session Notes

Both notes are NOT seen by your clients. 


The Service Notes will act just like Service Description. It's populated from the services section. If you'll make any updates on the Service Notes on the session profile, it will overwrite the content from the services section for that particular session. However, selecting "Update all future instances of this recurring session" on the session profile will not update all future instances for recurring classes. If you want to update all of the Service Notes for your recurring classes, you would do this in the services section.


The Session (class/appointment) Notes are unique to each individual class or appointment. It is populated from the Session Profile. This section lets you write yourself or your instructors notes for a specific class or appointment - maybe you want to list a time schedule, make notes about the format of a class, or general business notes about a session, it's up to you!


NOTE: Making changes on both fields on the session profile and selecting the option to update all future instances will NOT work.


4 - Happy Birthday Icon

When a client has a birthday, you can see it with a handy visual icon. If the client has a birthday within 30 days of the class date, we display the Happy Birthday cake icon - and hovering your mouse over the icon will display their birth date. How you want to reward them is up to you (singing optional).


5 - Client notes

The client's customer profile has  a section for adding client specific notes. Maybe you use this for remembering how much money they owe, any medical issues, etc. You can use the notes indicator on the Session Profile page to remind you if there is something specific to this client that you need to check on or review. Click on the notes icon to update or enter a note in a popup window, or just to view the note that you've already entered.

Withdraw (Cancel) - To cancel a client out of a class, click the 'Withdraw' button. This will give you a cancellation prompt to confirm removing the client from the class. Clicking to confirm will remove the class from the class, give them a session 'credit' and send them an email of the withdrawal.



Note: If you add or withdraw a client to a session that has occurred already, the professional and the client won't receive any notifications regarding it. Only your business will be notified.


Send Message & Send Message to All Participants


You can send custom messages to your clients - either individual clients in a class, or all clients? This is great for reaching out to a specific client letting them know they lost their wallet, need to pay at the next appointment, or telling everyone that the class is going to be a tough one!


Changing Multiple Sessions

Depending on how you first created the class, you have the option to update all future instances for MULTIPLE classes.

If you've created the class as part of a recurring session - you can choose between updating multiple classes, or updating a single class.
